Privacy Policy
1. Overview
LinkLead Media Inc. ("we," "our," or "us") provides appointment-generation and marketing services to home-improvement contractors. This Privacy Policy explains what information we collect through our websites, landing pages, forms, SMS and email communications, and services, how we use it, and the choices available to you.
By using our websites or services, or by entering your information into any of our forms, you agree to the practices described here. If you do not agree, please do not use our sites or submit information to us.
2. Information We Collect
2.1 Information you give us
- Name, business name, email address, phone number, and mailing address
- Business information you provide in our qualification forms, such as annual revenue range and installation capacity
- Appointment details, including the date, time, and timezone you select
- Records of your consent to be contacted, including the date, time, IP address, and the page on which consent was given
- Correspondence with us by phone, SMS, email, or messaging platforms
- Billing and service history for clients
2.2 Information entered into our forms before you submit them
Our forms capture information as you enter it, not only when you press a submit or continue button. If you type your email address or telephone number into one of our forms and then navigate away, close the page, or otherwise do not complete the form, we retain the information you entered and treat it as an inquiry.
We collect this information because a person who begins requesting a consultation and stops partway has, in our experience, usually been interrupted rather than changed their mind. Retaining the entry allows us to follow up and complete the request.
We may use information collected this way to contact you by telephone, SMS, or email regarding the inquiry you began, on the same terms described in Sections 3 and 4 below. If you do not wish us to hold or use your contact details, do not enter them into our forms. You may ask us to delete a partial entry at any time by emailing ethan@linkleadmedia.com, and you may opt out of further contact at any time as described in Section 4.
2.3 Information collected automatically
- IP address, browser type, device type, operating system, and screen size
- Pages viewed, time on page, referring URL, and the advertisement, ad set, and campaign that referred you
- Cookies and similar identifiers, including advertising identifiers such as the Meta click identifier (fbc) and Meta browser identifier (fbp)
- The approximate timezone reported by your browser, used to display appointment times correctly
3. How We Use Your Information
- To contact you about a consultation you requested or began requesting, by telephone, SMS, or email
- To schedule, confirm, remind you of, and reschedule appointments
- To qualify inquiries and determine whether our services are a fit for your business
- To provide, operate, and improve our services and websites
- To process payments and administer client accounts
- To measure and improve the performance of our advertising, including sending conversion events to advertising platforms as described in Section 6
- To maintain records of consent and communications
- To comply with legal obligations and enforce our agreements
4. Telephone, SMS, and Email Communications
By providing your telephone number to us — whether by completing a form or by entering it into a form you do not complete — you agree that LinkLead Media Inc. and those acting on our behalf may contact you at that number regarding your inquiry and our services, including by automated telephone dialing system, prerecorded or artificial voice, and SMS text message.
Consent is not a condition of purchase. Message frequency varies. Message and data rates may apply.
You may opt out of SMS at any time by replying STOP to any message. Reply HELP for assistance, or contact ethan@linkleadmedia.com. You may opt out of marketing email using the unsubscribe link in any message. You may ask us to stop calling you by telling us so on any call or by writing to the address above. We will honour opt-out requests promptly.
We maintain an internal do-not-contact list and will not sell, rent, or share your telephone number or SMS consent with third parties for their own marketing.
5. Legal Bases and Retention
We process your information to take steps at your request prior to entering a contract, to perform a contract, for our legitimate interests in operating and marketing our business, and to comply with law. Where required, we rely on your consent.
We retain inquiry and consent records for as long as needed for the purposes above and to evidence consent, typically no less than four years, and longer where required by law or to resolve disputes. Client billing records are retained as required by tax and accounting rules.
6. Advertising, Analytics, and Cookies
We use the Meta Pixel and Meta's Conversions API. When you take an action on our site — for example, submitting your details or booking an appointment — we send an event to Meta both from your browser and from our server. Server-sent events include a hashed version of your email address, telephone number, and name. Hashing is a one-way process; we do not send these details to Meta in readable form.
These events allow us to measure advertising performance and improve the targeting of our advertisements. You can manage cookies through your browser settings and can control ad personalisation through your Meta account settings.
We do not currently respond to Do Not Track browser signals.
7. Sharing and Disclosure
We do not sell, rent, or trade your personal information. Mobile information and SMS consent are never shared with third parties or affiliates for marketing or promotional purposes. This exclusion applies to all categories of sharing described below.
We share information only with:
- Service providers who operate our infrastructure on our behalf and are bound to use it only for that purpose — currently including our CRM and scheduling provider, our website hosting provider, and our database provider
- Advertising platforms, limited to the hashed and technical identifiers described in Section 6
- Professional advisers such as accountants and lawyers, under duties of confidentiality
- Authorities or other parties where required by law, legal process, or to establish, exercise, or defend legal claims
- A successor entity in connection with a merger, acquisition, or sale of assets, subject to this Policy
8. Data Security
We use reasonable administrative, technical, and physical safeguards to protect personal information, including encryption in transit, access controls, and storing credentials outside of client-side code. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your Rights and Choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information, including any partial form entry
- Withdraw consent, including consent to be contacted by phone, SMS, or email
- Opt out of the sharing of personal information for cross-context behavioural advertising
- Not be discriminated against for exercising these rights
To exercise any of these rights, email ethan@linkleadmedia.com. We will respond within the period required by applicable law. We may need to verify your identity before acting on a request.
Residents of California, Colorado, Connecticut, Virginia, Utah, and other states with comprehensive privacy laws may have additional rights, including the right to appeal a refused request. Residents of Canada may have rights under PIPEDA and equivalent provincial legislation.
10. International Transfers
We are incorporated in Delaware and operate from Canada, and our service providers may process information in the United States and elsewhere. Where information is transferred across borders, we take steps to ensure it remains protected consistently with this Policy.
11. Children's Privacy
Our services are intended for businesses and are not directed to individuals under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
12. Third-Party Links
Our sites may link to third-party websites. We are not responsible for their privacy practices, and this Policy does not apply to them.
13. Changes to This Policy
We may update this Policy from time to time. Material changes will be posted on this page with a revised Effective Date. Continued use of our services after a change constitutes acceptance.
